Privacy Policy

Last updated: 26 October 2026

TaoWest Healing Traditions respects your privacy. This policy explains how we handle your personal information when you visit our website, contact us or receive care at our South Fremantle clinic. We handle personal and health information under Australia’s Privacy Act 1988 and Australian Privacy Principles.

What we collect

We collect information needed to arrange your appointments and provide care. This includes your name, contact details, date of birth, relevant health history, medicines, allergies, consent, treatment notes and billing records. We usually collect this directly from you through consultations, forms, bookings, phone calls or email.

We seek your consent to collect health information unless the law allows otherwise. Information from another practitioner or someone acting for you is collected with your authority or another lawful basis. You can make a general enquiry anonymously, but we usually need identifying details to provide clinical care.

How we use and share information

We use your information to provide and document care, manage bookings and payments, communicate with you and meet our professional obligations. If you choose not to provide relevant information, this may limit the care we can offer.

Information may be handled by service providers supporting our bookings, records, communications, payments and website. We share information with other health practitioners or your insurer with your authority, or where otherwise permitted or required by law. Sharing is limited to what is relevant to the purpose.

Your records

TaoWest keeps both paper client files and electronic records. Cliniko is being introduced to replace Halaxy. Some historical records may remain in Halaxy during the transition. Setmore remains our online booking service.

We take reasonable steps to protect records from loss, misuse and unauthorised access, including restricting access to people who need it for your care or clinic administration. Records are retained to meet care, legal and professional requirements, then securely destroyed or de-identified when no longer needed and when permitted.

Online services and email updates

Our email-list sign-up form uses Jotform. Subscribe only if you would like updates; you can unsubscribe or contact us to stop them. Please do not include detailed health information in newsletter forms or ordinary email.

Some technology providers use overseas storage or support. Jotform states that form information is stored in the United States by default, with an option for storage in the European Union. Cliniko states that new Australian accounts store data in Australia; some of its service providers operate in Australia and the United States. Locations depend on the service and account settings.

You can read the privacy information for Setmore, Cliniko and Jotform. External websites have their own privacy practices. Website services may record technical details such as your IP address, browser and pages requested. You can manage cookies through your browser settings.

Access, corrections and concerns

You can ask to see or correct the information we hold about you by contacting Maaz below. We may need to check your identity. We will respond within a reasonable time, explain any lawful restriction and tell you in advance about any reasonable cost of providing access.

If you have a privacy concern, please contact us so we can investigate and respond. We aim to respond within 30 days. If the matter remains unresolved, you can contact the Office of the Australian Information Commissioner.
